Job Description:

The Receptionist is a key position at Long Island Cares, Inc. and serves as the first point of contact in the organization’s main building. This role is responsible for greeting visitors, volunteers, and donors; answering and directing phone calls; and supporting general office operations. The Receptionist provides administrative assistance across all departments, including support to the CEO and Vice Presidents as needed, and helps ensure the office runs smoothly and professionally. This is a full-time, in-office position, Monday through Friday, 8:00 a.m. to 4:00 p.m. (40 hours per week).

Essential Functions:

  • Greet and assist volunteers, guests, and visitors in a professional and welcoming manner.
  • Serve as the primary front desk presence in the main building.
  • Answer, screen, and direct incoming phone calls promptly and courteously.
  • Provide clerical and administrative support to all departments and Vice Presidents as needed.
  • Assist with volunteer check-ins and respond to general volunteer inquiries.
  • Perform basic data entry and administrative tasks accurately and efficiently.
  • Order, receive, and maintain office and reception supplies.
  • Assist with meeting and event preparation, including set-up and breakdown; occasional evening hours may be required.
  • Maintain a clean, organized, and professional reception and common office area.
  • Provides backup support to the Network Relations & Capacity Building department as needed, including data entry, phone coverage, and other administrative or operational tasks.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Perform other duties as assigned to support daily office operations.
  • Occasional early-morning availability may be required based on operational needs.

Education & Experience:

  • High school diploma or equivalent required.
  • Receptionist experience or 1-2 years of related experience in an office setting.

Required Skills & Abilities:

  • Strong communication and interpersonal skills.
  • Basic computer proficiency (Microsoft Office Suite necessary).
  • Ability to multitask and prioritize in a fast-paced environment.
  • Positive attitude and willingness to assist wherever needed.
  • Bilingual (English/Spanish) is a plus.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift to 20 pounds at times.
